Who we are

The Watchaholic (“we”, “us”) sells new, vintage and collectable watches, and is part of the B and G Coins group. Our postal address is PO Box 1219, Spalding, PE11 9FY. You can contact us by email at [email protected] or by telephone on 01406 408123.

We are the data controller for the personal information collected through www.thewatchaholic.co.uk. This policy explains what we collect, why, and what rights you have.

The information we collect

When you buy from us, create an account, subscribe to our newsletter or contact us, we may collect your name, email address, postal and delivery address, telephone number, order history and any correspondence you send us. If you create an account we also hold your username and password, which is stored encrypted. If you take part in our rewards scheme we hold your points balance.

We do not receive or store your full card details. Card payments are handled directly by our payment providers on their own secure systems.

Our web server automatically records the IP address of visitors, along with browser type and pages visited. We use this to administer the site and to understand how it is used.

Why we use it, and our legal basis

To process and deliver your order — because it is necessary to perform our contract with you. This includes passing your delivery details to Royal Mail or our courier.

To take payment — necessary to perform our contract with you, and to comply with our legal obligations on fraud prevention.

To keep records of sales — to comply with our legal obligations, including HMRC requirements.

To answer your enquiries — our legitimate interest in running the business and helping customers.

To send you our newsletter and offers — with your consent, given when you subscribed. You can withdraw it at any time using the unsubscribe link in any email, or by contacting us.

To run our rewards scheme — to perform our contract with you where you have chosen to join it.

Who we share it with

We share your information only with the organisations that help us run the business:

  • Our payment providers — Stripe, PayPal, Klarna and Clearpay — who process payments and hold your payment details on their own secure systems. Where you choose to pay in instalments, that provider will carry out its own checks and has its own privacy policy.
  • Royal Mail, our couriers and our transit insurer, who receive the name and address needed to deliver and cover your order.
  • Our website host and email provider, who store the data on our behalf.
  • Our accountant, for our statutory accounts and tax returns.

We do not sell your information, and we do not share it for anyone else’s marketing. We may disclose information where we are required to do so by law.

How long we keep it

We keep order and payment records for seven years, as required for tax purposes. Account details are kept for as long as you have an account with us. Newsletter subscriptions are kept until you unsubscribe. Enquiries that do not lead to an order are kept for two years. Server logs are kept for a short period and then deleted.

Transfers outside the UK

Some of our suppliers, including our payment providers, may process data outside the United Kingdom. Where that happens we rely on the safeguards those providers have in place, such as the UK International Data Transfer Agreement or an adequacy decision, so that your information continues to be protected.

Cookies

A cookie is a small file placed on your device. We use cookies to keep your basket working, to remember you if you log in, and to understand which pages are used. You can block or delete cookies in your browser settings, but parts of the site may not work properly if you do. There is more about cookies at www.allaboutcookies.org.

Your rights

You have the right to ask us for a copy of the information we hold about you, to have it corrected if it is wrong, and in some circumstances to have it deleted. You can also object to us using it, ask us to restrict how we use it, and ask for it in a portable format. Where we rely on your consent, you can withdraw it at any time.

If you are unhappy with how we have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk, or by telephone on 0303 123 1113. We would appreciate the chance to put things right first.

Security

The site uses an SSL certificate so that information you send us is encrypted in transit. We keep access to customer data limited to those who need it.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last changed.
